2. Here's This Months Outcome Focus Situation/Solution

How To Handle Work Overload Due To Your Working At Faster Level Than
Co-workers
SITUATION: [Anne Warfield] This situation came to us from India. We have
chosen to include it as it was directly emailed to us even though there
are some language differences. Please read past those to get the essence
of what the reader is asking. I have also typed right below it my version
of what he was asking to make it easier to understand.
Hi, Anne
I come across the situations frequently in which due to my hardworking
capacities and years of experience and also due to certain incompetence of
my colleagues I get overloaded by my boss.
I am sharing following information with you to better understand my
situation:
A) When others are not in a position to complete, when he’s had a bad
experience in the past and good experiences with me, my boss increases my
workload irrespective of seeing my current load & planned activities.
B) I am at sectional head position, where I am responsible for developing
front line as well acting in front sometime as due to manpower crunch.
When my boss is not there I play the role of acting Manager also.
Hope the above shall help you to get to my situations. At the same time
due to this over load it has become difficult to have self exploration and
balance between personal (family) and professional life.
How can I develop a strategy or the impression by which I can handle my
boss and my colleagues without hampering the job and organization
requirements? In any case I want to handle/execute the things in very
commanding and timely way.
OUTCOME DESIRED:
You wish to get your boss to quit overloading you while still maintaining
your good standing with your boss.
HOW TO HANDLE:
Most likely your boss, is aware of the situation, but sees you as a relief
or rock he can rely on. What he should be doing is addressing the
incompetence of the others rather than having you pick up their slack.
Now having said that let’s be realistic about where your boss is coming
from. Most likely he doesn’t see that he is overworking you but rather he
sees you as completely competent. He may also be a blunter person.
If he is a blunt person, than he would believe that you would not take on
any project that would overwork you because he, himself, would never take
on a project that would overwork him.
So let’s start from the perspective that he believes in you, relies on
you, and would probably appreciate others working at your level.
BEST PHRASED:
For simplicity sake, I am going to name your boss, Jim.
Approach Jim at a quiet time and say the following:
Jim, I have given myself a challenge and I would like a moment to share it
with you. When do you have 10 minutes that we could talk?
If he says, he can’t spend the time right now, then get on his schedule
for a convenient time. If he says he is free now, sit down and say the
following:
Jim, I have been challenging myself on how I can be more effective both at
work as well as at home. I know that the more balanced I am the more I
can produce for you. I greatly respect that you see me as a competent
person that you can rely on and I cherish that acknowledgement.
At the same time, I have realized that I am taking on too many projects
and diluting the effort that I can do for you. I really respect you and
therefore, I have a hard time saying no to additional projects because I
want to help the team. What I don’t ever want is to compromise is the
work quality and that is why I am here to talk with you.
I wanted to brainstorm with you ways you and I can work together to ensure
I don’t spread myself too thin for you as well as perhaps, ensure that
others on our team get a chance to step up to the plate as well. That way
I will ensure I keep the quality at your high standards.
Then let him talk. Realize he may panic as you have been his solid
player. He may need your assistance in getting other people to pick up
the slack or ideas, train people on how to work more efficiently or share
ideas on how to spread the workload around.
Or the problem may be that he just hasn’t seen how overloaded you are
because you either make things look too easy or you don’t say “no” when
you should. If the later is the case, then find out from him how he would
like you handle it when you don’t feel you can take another project on.
Then make sure you follow that and DON’T take on a project when you should
really say no. That will make the others step up to the plate as well.
